• Plan, coordinate, and execute the procurement of medical and non‑medical items in line with approved requisitions.

• Prepare comparative statements, purchase proposals, and approval notes for submission to the appropriate authority.

• Issue Purchase Orders (POs) and Work Orders, and follow up with suppliers to ensure timely delivery.

• Ensure all procured items comply with approved specifications and quality standards.

• Monitor inventory levels in coordination with the store team to avoid stock shortages or overstocking of critical items.

• Support vendor evaluation, enlistment, and performance assessment processes.

• Manage procurement processes through RFQs, tenders, or direct purchases in accordance with hospital procurement policies.

• Assist with import procurement, including LC processing and coordination with banks and clearing agents, where applicable.

• Conduct bid openings and evaluate bids and proposals to identify responsive and cost‑effective offers, ensuring transparency, competition, and proper documentation.

• Issue award letters or contracts in line with established procurement criteria.

• Negotiate with suppliers on pricing, delivery schedules, quantities, payment terms, scope of work, and change orders; verify sole‑source justifications when required.

• Act as a liaison between vendors and department heads to manage procurement procedures, order status, and issue resolution, while advising on cost‑effective alternatives.

• Resolve procurement‑related issues such as bid disputes or vendor protests in compliance with contract law and in coordination with legal counsel when necessary.

• Maintain procurement records in line with organizational policies, procedures, and audit requirements.

• Support the Head of Department and relevant officers in handling complex procurement activities.

• Verify purchase orders and confirm receipt of items by the store in compliance with approved purchase orders.

• Follow up with hospital vendors regarding order delivery and receipt.

• Prepare and submit monthly procurement activity reports to the Procurement Panel.

• Maintain records of all purchased goods and provide advice on consumption patterns and pricing trends.

• Perform any other duties assigned by the department head or authorized management.
