Availability:
The candidate must be fully flexible and available to accompany the Managing Director (MD) at all times. This may include irregular working hours, weekends, and frequent travel.

This position demands the highest level of confidentiality and professional conduct. The candidate will have access to sensitive information and must handle it with complete discretion and responsibility.

 

Responsibilities & Context

Executive Support:
The candidate will serve as the primary point of contact for all internal and external communications directed to the Managing Director (MD). Responsibilities include handling correspondence, managing schedules, and preparing necessary meeting materials.

Constant Availability:
The candidate is expected to remain closely available to the MD at all times, including beyond standard office hours. This role also involves accompanying the MD to meetings, events, and other official engagements as required.

Information Management:
Responsible for efficiently managing documents, reports, and sensitive/confidential information. Duties include drafting documents, preparing reports, and ensuring the MD has accurate and timely information for decision-making.

Communication Handling:
Act as the main communication link for the MD by screening and prioritizing calls, emails, and other correspondence. When needed, draft and manage official communications on behalf of the MD.

Travel Coordination:
Oversee all travel arrangements, including flight and hotel bookings, transportation, and preparation of detailed travel itineraries.

Meeting Preparation:
Prepare agendas, supporting documents, and required materials for meetings. Attend meetings with the MD to take notes, record action points, and ensure proper follow-up of tasks.

Administrative Support:
Provide comprehensive administrative and executive assistance, including preparing reports, presentations, and managing expense documentation.

Project & Task Management:
Support the MD in tracking ongoing projects, monitoring progress, and ensuring deadlines are met effectively.

Liaison Role:
Act as a dependable link between the MD and internal departments as well as external stakeholders.
