- Applicants should be between 25 and 40 years of age.
- Strong interpersonal abilities along with effective communication skills are essential.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) and internet usage is required.
- Ability to review and understand various documents such as invoices, forms, and legal papers.
- Must be fluent in both English and Bangla, with good written and verbal communication skills.
- Should be capable of working for extended hours when necessary.
Responsibilities & Context
Meeting & Documentation Management
- Deliver comprehensive administrative and secretarial assistance to the Chairman.
- Plan, coordinate, and maintain the Chairman’s daily calendar, including meetings and appointments.
- Review incoming emails, calls, and correspondence, prioritizing them appropriately.
- Draft official letters, reports, memos, and other communications as required.
- Organize and maintain accurate records, files, and documentation for easy retrieval.
- Ensure all meeting-related documents are prepared and shared on time.
Communication & Coordination
- Serve as a key liaison between the Chairman and internal teams, partners, and stakeholders.
- Collaborate with different departments to collect necessary information and updates.
- Monitor and follow up on directives and decisions issued by the Executive Director to ensure proper execution.
Travel & Logistics Support
- Arrange travel plans, including transportation and accommodation, for the Chairman.
- Prepare detailed itineraries, travel notes, and required documentation.
- Manage logistical support for official trips, visits, and meetings.
Confidentiality & Record Management
- Handle all executive and organizational information with strict confidentiality.
- Safeguard and systematically archive sensitive documents and records.
- Maintain a well-structured and secure documentation system within the Chairman’s office.
Additional Responsibilities
- Assist in preparing reports, presentations, and briefing materials.
- Provide support in organizing board meetings and major organizational events.
- Carry out any other tasks assigned by the Executive Director.
