  • Strong computer literacy, especially in MS Word, Excel, and email communication
  • Ability to prepare reports, purchase orders, and comparative statements using computer tools
  • Familiarity with ERP or inventory/procurement systems will be considered an advantage
  • Good typing speed with high accuracy
  • Basic understanding of data management and record-keeping 
 

Responsibilities & Context

  • Support the procurement of materials in line with organizational needs and approved requisitions.
  • Prepare and process purchase orders (POs) according to company policies and designated timelines.
  • Gather and assess quotations, samples, and technical specifications from suppliers and local markets.
  • Negotiate with vendors to secure the most favorable pricing, quality standards, and delivery terms.
  • Maintain and update rate charts regularly, and prepare Comparative Statements (CS) for management review and approval.
  • Track purchase orders, monitor delivery schedules, and ensure timely receipt of materials.
  • Review supplier invoices and forward approved bills to the Accounts Department for payment processing.
  • Conduct periodic market research to analyze price trends, product availability, and sourcing opportunities.
  • Maintain strong communication and coordination with vendors to ensure consistent service quality and long-term partnerships.
  • Perform additional tasks and responsibilities assigned by the Head of Department as needed.
