The Reception Executive will be responsible for managing front desk operations, handling visitor and client communications, maintaining administrative records, and providing professional support to ensure smooth day-to-day office operations.
Key Responsibilities
- Manage daily front desk operations by welcoming visitors, answering telephone calls, and directing inquiries to the appropriate departments in a courteous and professional manner.
- Maintain effective communication with employees, clients, vendors, and other stakeholders to ensure smooth coordination and information flow.
- Receive, record, and promptly forward sales inquiries, land/property-related queries, and customer requests to the relevant departments for timely follow-up.
- Receive, register, sort, and distribute incoming correspondence, courier deliveries, and official documents while maintaining proper records.
- Monitor and maintain employee attendance, visitor logs, and staff movement records, and prepare periodic reports as required.
- Coordinate interview schedules, arrange candidate visits, and manage meeting room and conference room bookings to support organizational activities.
- Assist in the distribution of cheques, official documents, publications, and other administrative materials in accordance with company procedures.
- Ensure the reception area, waiting lounge, and front office environment remain clean, organized, professional, and welcoming at all times.
- Maintain confidentiality while handling sensitive company information and comply with organizational policies and administrative procedures.
- Perform any additional administrative or front desk responsibilities assigned by management to support efficient office operations.
