Responsibilities & Context

Position Summary:
The Food & Beverage Manager is responsible for overseeing all aspects of group meetings and banquet functions at the hotel. This includes daily coordination of events, assisting clients with program planning and menu selection, generating local Food & Beverage business, and maintaining the hotel’s service standards and reputation while acting as the main liaison for group clients.

Key Duties & Responsibilities:

  • Achieve budgeted targets for food and beverage sales, labor costs, and overall profitability.
  • Conduct timely customer follow-ups and maintain strong client relationships.
  • Analyze food and beverage pricing in relation to competitors.
  • Contribute to food & beverage marketing initiatives and promotional activities.
  • Engage with both potential and existing customers through entertainment and relationship building.
  • Prepare and distribute sales promotions and marketing mailings.
  • Conduct competitive market analysis every six months by gathering industry data.
  • Perform telemarketing to previous clients to explore future booking opportunities.
  • Develop and maintain departmental control procedures and operational standards.
  • Handle all Food & Beverage inquiries with same-day response and follow-up.
  • Coordinate with group and banquet planners to understand and fulfill event requirements, including proposals, contracts, and function details.
  • Work closely with the Chef for all food-related planning and discussions.
  • Confirm all event details with clients and ensure accurate execution of requirements.
  • Supervise documentation flow, including proposals, contracts, and function statements.
  • Ensure compliance with hotel credit policies.
  • Oversee accurate and timely billing for all functions, ensuring correctness within 48 hours.
  • Collect evaluation forms for all events and attach them to invoices.
  • Track guaranteed attendance numbers for large and medium/small events within required timelines.
  • Prepare monthly forecasts and reports.
  • Participate in weekly F&B and department head meetings.
  • Assist in menu planning, pricing, and development of departmental manuals.
  • Supervise weekly payroll input and manage labor cost efficiency.
  • Be available for staff support during emergencies and ensure knowledge of fire safety procedures.
  • Participate in Manager-on-Duty shifts as required.
  • Manage bar inventory, requisitions, scheduling, and cost control, ensuring labor costs remain within budget.
  • Oversee ordering and purchasing of beverages, small wares, linens, and related supplies.
  • Ensure quality control of food, beverage, service standards, and banquet setups.
  • Maintain coordination with Sales and Kitchen teams to meet client expectations.
  • Build strong client relationships to ensure satisfaction and repeat business.
  • Minimize customer complaints and maintain high service standards.
  • Ensure professional appearance, conduct, and adherence to company standards at all times.
  • Lead staff training, development, recruitment, and disciplinary procedures in coordination with HR and senior management.
  • Ensure all staff hold required certifications (e.g., Smart Serve or equivalent).
  • Conduct departmental meetings and maintain strong communication across teams.
  • Promote teamwork, employee retention, and staff development.
  • Oversee scheduling, maintenance, cleanliness, and operational standards within the department.
  • Ensure high-quality service delivery that exceeds guest expectations.
  • Monitor equipment and facility conditions and report deficiencies as needed.
  • Reduce workplace incidents and ensure compliance with safety and operational standards.
