Role Overview
Ensure the safe, compliant, and cost-effective operation of company vehicles and effective management of transport staff.
Reporting Structure
Reports to: Admin Manager
Supervises: Drivers and Transport Assistant/Coordinator
Key Responsibilities
Allocate and schedule vehicles efficiently, optimizing routes and vehicle pooling where possible.
Maintain accurate daily trip records, including starting and ending mileage, fuel usage, purpose of travel, and driver details.
Approve and monitor fuel usage, comparing consumption against standard benchmarks.
Plan and manage preventive maintenance schedules; coordinate timely repairs and respond to vehicle breakdowns.
Ensure all vehicle documentation—such as registration, insurance, road tax, fitness, and emission certificates—remains current and compliant.
Oversee driver management, including work schedules, attendance tracking, disciplinary actions, and basic training.
Coordinate with vendors (fuel suppliers, garages, rental agencies) while adhering to budget constraints.
Maintain up-to-date records of fleet assets including vehicle master lists, tool inventories, GPS units, and fuel cards.
Investigate and report any vehicle-related incidents or accidents.
Prepare comprehensive monthly reports covering vehicle utilization, fuel efficiency, cost per kilometer, and downtime.
Authorize routine fuel and maintenance expenses within approved limits and escalate larger costs as necessary.
Issue operational directives to drivers to ensure smooth fleet operations.
