Responsibilities & Context

  • Welcome and check in arriving guests in a friendly and professional manner.

  • Explain hotel policies and procedures during the check-in process.

  • Answer incoming phone calls and direct them to the appropriate departments or individuals.

  • Provide guests with relevant information about room rates, hotel amenities, and operating hours.

  • Handle room bookings, confirmations, modifications, and cancellations as needed.

  • Ensure guests are assigned suitable accommodations based on their reservations.

  • Address guest inquiries and provide helpful and accurate responses.

  • Receive and respond to guest requests, forwarding them to the proper personnel or departments.

  • Confirm and process guests’ payment methods during check-in and check-out.

  • Distribute room keys and provide directions to guests' rooms.

  • Maintain accurate records of room assignments, charges, and guest details.

  • Deliver messages and communications to guests promptly.

  • Collect mail, parcels, and documents on behalf of guests.

  • Manage guest inquiries both face-to-face and over the phone.

  • Share recommendations on nearby attractions, restaurants, and local services.

  • Regularly coordinate with housekeeping to ensure room readiness and cleanliness.

  • Prepare incident reports, activity logs, and other documentation as required by management.

  • Schedule and reserve meeting or conference rooms for guests or internal use.

  • Support administrative and clerical duties when necessary.

  • Maintain a consistently positive, courteous, and professional demeanor.

  • Assist guests with internet and Wi-Fi access when needed.

  • Review and explain all charges and payments with guests during check-in and check-out.

  • Notify housekeeping when rooms are vacated and ready for cleaning.

  • Monitor and document guest visitors for security purposes.

  • Enforce hotel policies and ensure guests comply with rules and guidelines.

  • Report any guest misconduct or suspicious activity to management.

  • Alert emergency services and management in case of urgent situations.

  • Keep the front desk and reception area neat, organized, and welcoming.
