Education:
Master’s degree in Business Administration, Management, Supply Chain Management, Public Administration, or a related field. Professional certifications in procurement or supply chain management (such as CIPS or CPSM) are considered a plus.

Experience:
A minimum of 8 to 10 years of relevant experience working with reputable organizations, NGOs, or INGOs.

Skills and Knowledge:
Strong skills in articulation, drafting, presentations, and verbal communication in both Bangla and English. Well-versed in procurement planning, budgeting, progress monitoring, decision-making, and report writing, especially within procurement and administrative contexts.

Competencies:
Demonstrates strong leadership and a supportive approach, capable of earning trust and cooperation from others. Self-driven with excellent interpersonal skills and comfortable working with diverse teams. Upholds high personal integrity and values transparency, flexibility, proactiveness, and respect for gender, diversity, and safeguarding principles. Able to make sound decisions and embody organizational values. Proficient in planning, prioritizing, and organizing tasks for oneself and others. Performs effectively under pressure and consistently meets deadlines.


Responsibilities & Context

Contract Type: Fixed-term, full-time (37.5 hours per week) with potential for extension

About the Role

The Coordinator – Admin is responsible for overseeing administrative, logistics, procurement, and security functions while ensuring adherence to organizational policies and government regulations. This role manages daily office operations, procurement activities, asset oversight, and security support. It also involves maintaining effective communication and compliance with government agencies, NGOs, and international partners, including meeting the requirements of the NGO Affairs Bureau, relevant ministries, and immigration authorities.

Key Responsibilities

A. Administration & Office Management

  • Provide prompt administrative support and maintain a well-functioning office environment, ensuring utilities, vehicles, and equipment operate smoothly

  • Manage the renewal of service contracts with external providers such as security and maintenance vendors

B. Security

  • Serve as the security focal point, maintaining safety protocols and securing office premises

  • Oversee emergency preparedness, safety equipment, and workplace cleanliness to ensure a secure environment

C. Procurement & Purchasing

  • Prepare annual procurement plans and execute timely purchases of office supplies in compliance with organizational guidelines

  • Maintain an updated vendor list and ensure cost-effectiveness in procurement

D. Consultant Hiring & Contract Management

  • Support the development of Terms of Reference (ToRs), Requests for Proposals (RFPs), and Quotations (RFQs) and manage the consultant recruitment process

  • Coordinate evaluations, negotiate contract terms, and finalize agreements with consultants

E. Logistics

  • Facilitate travel arrangements including ticketing, visas, and accommodation for staff, visitors, and events

  • Organize national and international events, ensuring smooth coordination and quality service

F. Inventory & Asset Management

  • Oversee inventory control and asset maintenance, ensuring compliance with WaterAid policies

  • Conduct annual asset verification, manage disposal of obsolete items, and handle insurance claims related to assets

G. NGO Affairs Bureau Compliance

  • Ensure all formalities related to foreign-funded projects are fulfilled and maintain strong liaison with the NGO Affairs Bureau

  • Submit required documentation and follow up on project approvals, extensions, and reporting requirements

H. People Management

  • Monitor and evaluate team performance, provide constructive feedback, and support professional development and training to enhance service quality
