Responsibilities & Context

 
  • Position Summary:
  • This role is responsible for ensuring the timely provision of logistics and equipment at the health facility through regular communication and coordination with health service providers and the warehouse team. The position also includes supervising facility volunteers to ensure accountability and effectiveness.
  • Key Responsibilities:
  • Identify non-clinical gaps at the Primary Health Centre (PHC) through regular monitoring and communication with service providers at each service point.
  • Address shortages of medicines, medical equipment, and supplies by coordinating with health service providers and the warehouse team.
  • Support the Facility In-Charge in preparing commodity requisitions, maintaining logistics documentation, writing visit reports, and attending stakeholder meetings.
  • Maintain accurate records of the receipt, distribution, or changes in health facility supplies through regular inventory checks.
  • Ensure proper processing and compliance for bill vouchers and IOU payments in coordination with the finance team.
  • Respond to non-technical issues at health facilities under the guidance of the Facility In-Charge.
  • Monitor food supply provided by vendors to admitted patients and maintain proper records in patient registers.
  • Ensure effective infection prevention and control (IPC) practices by supervising support staff and verifying the quality and usage of IPC materials (cleaning supplies, PPE, etc.), ensuring proper supply from the warehouse.
  • Monitor crowd control and conflict management at the triage area by supervising support staff.
  • Assist with construction activities at health facilities by coordinating with the construction engineer and laborers, under management guidance.
  • Oversee the overall safety and security of the health facility in close coordination with the security team and Facility In-Charge.
  • Ensure expired medical commodities are properly disposed of, with accurate documentation and communication with management.
  • Track and ensure all facility assets are tagged correctly and regularly monitored.
  • Educate Rohingya community members on the Complaint and Feedback Response Mechanism (CFRM) through regular counseling sessions conducted by facility volunteers.
  • Monitor inventory of both medical and non-medical supplies, maintaining registers of all incoming and outgoing items. Ensure storerooms at PHCs are well-organized with up-to-date ledgers, files, stock/bin cards, and other documentation ready for spot checks.
  • Collaborate with other stakeholders operating in the same camps to maximize coordination and resource sharing.
  • Safeguarding Responsibilities:
  • Promote and uphold safeguarding standards to ensure a safe working environment for staff, patients, and community members.
  • Act as a key resource for safeguarding guidance, ensuring that team members are aware of and adhere to safeguarding policies.
  • Ensure that all actions protect programme participants, staff, and others from harm, abuse, neglect, harassment, and exploitation, including Sexual Exploitation and Abuse (SEA).
  • Encourage the use of the safeguarding reporting mechanism in the event of any incident and actively follow the reporting procedure.
