Responsibilities & Context

Shift Management & Operational Leadership (24/7)

  • Act as the designated managerial point of contact during assigned shifts (Day/Evening/Night), overseeing all customer care operations including reception, billing, appointment desk, and call center activities.

  • Ensure optimal staffing coverage, particularly during night, weekend, and holiday shifts, by effectively managing and enforcing the approved duty roster.

  • Coordinate closely with clinical and administrative departments (Medical Officers, Nursing, Admissions, Billing, etc.) to resolve operational issues during off-hours.

  • Take immediate responsibility for managing service disruptions, patient/attendant misconduct, or emergency situations in accordance with hospital policies and protocols.

Patient Experience & Complaint Management

  • Handle and resolve escalated patient and attendant complaints that cannot be addressed by frontline staff, with special focus on night and emergency shifts.

  • Monitor service interactions to ensure compliance with Aalok Healthcare & Hospital’s standards of service quality, professionalism, and empathy.

  • Collect, document, and report patient and family feedback, initiating immediate service recovery actions when required.

Team Management & Development

  • Provide on-the-spot coaching and guidance to Customer Care Executives/Officers to enhance communication, service excellence, and problem-solving capabilities.

  • Monitor shift-based performance indicators such as response time, resolution efficiency, and patient satisfaction, and provide regular feedback to line management.

  • Support onboarding and continuous training initiatives, especially related to emergency and night-shift protocols.

Administrative & Financial Oversight

  • Supervise billing operations, cash handling, and payment verification to ensure financial accuracy and compliance, particularly for emergency and night admissions.

  • Prepare structured end-of-shift operational reports outlining incidents, complaints, service performance, and financial summaries.

  • Ensure accurate completion, documentation, and filing of patient records, consent forms, and departmental logs as per hospital guidelines.

  • Maintain continuous coordination with senior management and remain responsible for executing any additional duties assigned by management.
