Minimum of 3 years' experience in an administrative role, ideally within an international NGO or a development/humanitarian organization.
Fluency in Arabic, English, and Bengali is essential—Arabic is a mandatory requirement.
Strong written and verbal communication skills in all three languages.
Excellent organizational abilities and time management skills, with a keen eye for detail.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, including Calendar functions).
Demonstrated ability to manage sensitive and confidential information with the utmost discretion.
Experienced in drafting formal letters, reports, and meeting minutes professionally.
Comfortable multitasking and performing under pressure in dynamic, fast-paced settings.
Skilled in leveraging AI tools to streamline tasks such as document creation, scheduling, and data organization.
Strong interpersonal and coordination skills; able to collaborate effectively with diverse teams and stakeholders.
Manage the Country Director’s schedule, including meetings, appointments, and travel plans.
Coordinate and organize meetings, interviews, and workshops—prepare agendas and record minutes as needed.
Draft official correspondence, internal memos, and administrative decisions.
Handle confidential documents and information with discretion and integrity.
Maintain and archive organizational files and documents for efficient access and reference.
Log, track, and distribute all incoming and outgoing correspondence to appropriate personnel.
Ensure accurate documentation of communications, actions, and decisions.
Provide general clerical and administrative support to streamline daily operations.
Submit and monitor requests related to office operations and administrative workflows.
Report issues concerning office assets or equipment to the supervisor.
Liaise with various administrative units to facilitate effective communication and task execution.
Prepare and submit regular and ad-hoc reports to the Country Director or designated supervisor.
Assist in the preparation and consolidation of staff performance evaluation reports for the annual review process.
Coordinate with internal teams and external partners to ensure adherence to organizational processes and compliance standards.
Offer administrative support to colleagues during peak workloads or staff absences.
Perform any additional duties assigned by the Country Director or Office Manager, relevant to the role and expertise.
